Job Vacancy: Executive Assistant for Administrative and Consular Affairs
The Embassy of the Republic of Slovenia in Tirana is seeking a highly motivated, organized, and proactive professional for the position of Executive Assistant for Administrative and Consular Affairs. This is a one-year contract with the possibility of indefinite prolongation.
Key Responsibilities
Executive & Administrative Support
- Provide comprehensive executive support to the Ambassador, acting as a Personal Assistant.
- Perform administrative duties, including office management and managing correspondence with various institutions.
- Draft and proofread official documents, reports, and correspondence in both English and Albanian.
- Coordinate logistics for Embassy events, meetings, and official visits (travel arrangements, scheduling, and venue preparation).
- Maintain and update records, databases, and files, ensuring strict confidentiality and compliance with data protection regulations.
Consular & Linguistic Affairs
- Assist with consular affairs, including processing applications and liaising between institutions and applicants.
- Translate documents and official communications between English and Albanian (and vice versa).
- Serve as a primary point of contact for external stakeholders regarding consular and administrative inquiries.
Diplomacy, Media & Events
- Support policy, public diplomacy, and economic diplomacy initiatives.
- Assist in the organization of cultural events and attend relevant meetings, conferences, and events to prepare reports.
- Monitor local and international news, providing summaries relevant to Embassy interests.
Operations & Logistics
- Assist in budget monitoring and expense reporting for office operations and events.
- Handle the procurement of goods and ensure the smooth functioning of office equipment (coordinating with maintenance vendors).
- Manage the organization and archiving of Embassy documents to ensure efficient information management.
- Perform additional tasks related to Embassy operations as directed by diplomatic staff.
Qualifications and Requirements
- Citizenship: Must be an Albanian citizen.
- Education: At least a Bachelor’s degree (or higher) in a relevant field.
- Fluency: Exceptional command of Albanian and English
- Professionalism & Discretion: High level of discretion and the ability to work in a sensitive diplomatic context; complete understanding of the personal and professional consequences of lapses in security.
- Organizational Skills: Excellent organizational skills and high level of attention to detail; proficiency in Microsoft Office Suite.
- Work Approach:
- Constructive and service-oriented approach.
- Ability to prioritize workload and work effectively with minimal supervision.
- Ability to manage both routine and ad hoc taskings efficiently.
- Strong ability to work collaboratively as a dedicated member of a team.
- Desirable: Previous experience in a diplomatic mission, international organization, or government institution.
Salary and Compensation
- Monthly Gross Salary: 1,273.97 euros.
- Annual Bonus: The Employer shall pay an annual bonus equal to 1 (one) net monthly salary.
- Payment Terms: Payable in Albanian Lek (ALL). The exchange rate will be determined and fixed at the time of signing the employment agreement.
